The New Jersey & New York Volunteer Firemen’s Association, Inc. (the “Association,” “NJNYVFA,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit https://njnyvfa.org (the “Website”), create or use an account, communicate with us, submit materials, download documents, or otherwise interact with the Association through the Website.

By using the Website, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Policy, please do not use the Website or submit personal information through it.

Information You Provide

Account information: your name, email address, password, and account preferences, including a “remember me” selection. Passwords should be stored in hashed or otherwise protected form and not as readable text.
Communications: information you send by email or otherwise provide when contacting the Association, requesting information, reporting an issue, or communicating with an officer or website administrator.
Submitted materials: articles, photographs, event announcements, officer information, department news, documents, creator attribution, and other content submitted for possible publication or Association use.
Membership or program information: information included in forms, applications, records, meeting materials, or other documents that you choose to submit through available Association channels.

Please do not submit Social Security numbers, financial-account information, medical information, or other highly sensitive personal information through ordinary email or general website channels unless the Association specifically requests it through an approved secure process.

Information Collected Automatically

When you use the Website, our hosting provider and technology systems may automatically collect limited technical information, including:

Internet Protocol (IP) address;
browser type, device type, operating system, and general device information;
pages viewed, links used, referring pages, and dates and times of access;
login activity, session identifiers, error logs, and security-related information; and
cookies or similar technologies needed to operate login sessions, remember authorized users, maintain security, and support basic Website functions.

The Website currently does not advertise the use of behavioral advertising or the sale of personal information. If our practices materially change, we will update this Policy.

Clothing-Bin Donations

The Website’s clothing-bin page provides locations where the public may deposit clothing. The Website does not require a donor to create an account, provide contact information, or make an online payment to use a listed clothing bin. We generally do not know the identity of a person who makes an anonymous clothing donation. If you contact us about a bin, host location, misplaced item, or donation issue, we may collect the contact and message information you provide.

2. How We Use Information

We may use information to:

create, authenticate, maintain, and secure user or staff accounts;
operate, administer, maintain, troubleshoot, and improve the Website;
respond to questions, requests, and other communications;
review, edit, publish, archive, or otherwise administer submitted materials;
provide Association programs, documents, notices, meeting information, and member resources;
protect the Website, the Association, its members, and others against misuse, fraud, unauthorized access, and security threats;
maintain records and enforce our Terms and Conditions or other policies; and

3. Cookies and Similar Technologies

However, no website, email system, storage system, or Internet transmission is completely secure, and we cannot guarantee absolute security. The Website is not directed specifically to children under 13, and we do not knowingly collect personal information online from children under 13 without verifiable consent from a parent or legal guardian. A child under 13 may browse publicly available Website content that does not require the submission of personal information. A child under 13 may not create an account or submit personal information through the Website unless a parent or legal guardian has provided any consent required by law. These Terms and Conditions (“Terms”) govern your access to and use of https://njnyvfa.org and its pages, accounts, documents, materials, and services (collectively, the “Website”). The Website is operated by the New Jersey & New York Volunteer Firemen’s Association, Inc. (the “Association,” “NJNYVFA,” “we,” “us,” or “our”).

By accessing or using the Website, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Website.

1. Website Purpose

The Website provides information about the Association, meetings, officers, programs, clothing-bin locations, educational resources, newsletters, forms, member information, and related fire-service activities. Website information is provided for general informational and Association-administration purposes.

2. Eligibility and Accounts

You must provide accurate and current information when creating an account. You are responsible for:

safeguarding your username, email address, password, and session;
activity occurring through your account;

You retain any ownership rights you have in your Submissions. By submitting material for publication or Association use, you grant the Association a nonexclusive, royalty-free, worldwide license to review, edit, reproduce, publish, display, distribute, archive, and reformat the Submission in connection with the Website, newsletters, records, publicity, historical preservation, and other Association activities. This license continues for materials already published or archived, unless the Association agrees otherwise in writing.

We may decline, edit, remove, or correct Submissions at our discretion. Submission does not guarantee publication.

5. Clothing-Bin Program

Clothing-bin locations are provided to support the Association’s Scholarship and Death Benefit programs. By using a listed bin, you agree that:

you will deposit only lawful items that you own or are authorized to donate;
you will follow all instructions displayed on the bin or at its host location;
you will not leave items outside a bin, obstruct the site, trespass, or deposit hazardous, contaminated, prohibited, or non-clothing waste;
bin locations, availability, capacity, and collection schedules may change without notice; and
the listing of a host location does not mean the host operates or controls the Website.

Unless expressly stated in an official receipt or written acknowledgment, the Website’s bin listing is not a representation that a particular donation is tax-deductible and is not a tax receipt. Donors should consult their own tax adviser concerning deductibility and recordkeeping.

Before depositing an item, check all pockets and containers. The Association cannot guarantee the identification, recovery, return, or continued availability of an item deposited accidentally. Contact the Association promptly if you believe an item was deposited by mistake, but do not enter, climb into, damage, or tamper with a bin.

6. Informational and Safety Disclaimer

Website content, including education links, forms, program descriptions, meeting information, and fire-service materials, is provided for general information only. It is not a substitute for official department policy, incident command, certified instruction, professional judgment, legal advice, medical advice, tax advice, or emergency guidance.

Always follow applicable laws, recognized training standards, manufacturer instructions, departmental procedures, and directions from the authority having jurisdiction. In an emergency, contact 911 or the appropriate emergency service.

7. Intellectual Property

Except for content owned by others or identified otherwise, the Website’s design, Association name, logos, graphics, text, compilations, and other materials are owned by or licensed to the Association and are protected by applicable law. Names, logos, photographs, documents, or other materials belonging to third parties remain the property of their respective owners. No license to use any trademark or logo is granted except with the owner’s permission.

Our collection and use of information are described in the Website Privacy Policy. The Privacy Policy is incorporated into these Terms by reference.

14. Governing Law and Venue

These Terms are governed by the laws of the State of New Jersey, without regard to conflict-of-law principles. Subject to any law that requires otherwise, any legal action arising from these Terms or the Website shall be brought in a state or federal court with jurisdiction over Bergen County, New Jersey, and you consent to the jurisdiction of those courts.
